Please read this document very carefully — and then please read it again.

This role offers opportunities to work at exceptional locations and events you would not normally have access to. We operate at a high standard and expect the same level of awareness, professionalism, and execution from everyone representing our brand.

If you’re someone who “gets it” and can work independently without constant supervision, this role will be a strong fit.

THE LOS ANGELES HOT CHOCOLATE BAR

EVENT SOP & SERVICE STANDARDS

Internal document. This SOP is mandatory for all event contractors.

Preparation NON-NEGOTIABLE

Hot chocolate must be prepared either at your home before the event or on site (only if the venue has electricity and a sink).

  • Electric kettles will be provided.
  • All water must reach a full rolling boil (212°F).
  • Steam-only or hot tap water is not acceptable.
  • No shortcuts.

If preparing on site, begin boiling kettles immediately upon arrival so you can set up while water is heating.

Standard Vegan Coconut Hot Cocoa Recipe

  1. Boil 1 full kettle of water
  2. Add 1 storage bag (or ½ container of Ghirardelli chocolate)
  3. Add 3 cans of coconut milk / coconut cream
  4. Stir to create a concentrated base
  5. Add additional boiling water until liquid sits ~3–4 inches from the top of the Cambro
  6. Each kettle takes ~7 minutes; expect ~7 kettles per Cambro (~1 hour prep time)
  7. Coconut-based hot chocolate must be prepared fresh per event. Leftover base may not be carried over or reheated for subsequent events. Coconut-based hot chocolate may be hot-held in a Cambro for up to 4 hours maximum. Any remaining base must be discarded and not reused or reheated.

Standard chantilly Whipped cream with isi whipper

  1. Add 3 cups cold whipped cream to ISI whipper + 6 tablespoons powdered sugar + 2 tbsp vanilla flavor
  2. Close top and shake to mix well
  3. Follow instructions to add nitrogen cartridges to whipper

Arrival & Logistics

  • Review venue map the night before. Take a screenshot of event details in case there is no wifi at venue. Do not figure this out on arrival.
  • If a map was not provided, request one in advance.
  • Cell must be fully charged & bring charger with you.
  • Your car must be fully cleaned out and fueled prior to pickup.
  • Only the hired server may be onsite. No friends, family, or passengers while transporting company property
  • Go directly to the event. No errands, food stops, or gas stops.
  • Setup cart next to your vehicle and roll in

Dress Code & Appearance

  • All-black outfit only. No logos.
  • Hair sleek with gel; long hair tied back. Ladies: low bun.
  • Small gold jewelry only. Apron required.
  • Cover tattoos and remove visible piercings.
  • If client provides a shirt/layer, you must wear it.
  • No personal jacket over clothes — dress in layers.
  • Wearing provided uniform is mandatory - beret, turtleneck, apron, etc

Verification Checklist

  1. The night before the event text us before you go to bed AND the following morning when you wake up to confirm readiness.
  2. Upon arrival, text the event organizer to confirm arrival.
  3. Once fully set up and ready to serve, take a clear photo of the cart and setup. This serves as proof of on-time readiness.

Setup & Timing

  • Serve time starts at serve time not, not arrival/parking time
  • Setup should take ≤ 15 minutes.
  • Arrange the items on cart exactly like the photo example
  • Umbrella is mandatory unless unsafe due to wind.
  • Cart can't be rolled onto the sand, it will have to be lifted and carried piece by piece. It can "sit" on the sand

Cart Standards WHITE

  • Protect with moving blankets
  • Cart must be impeccably white.
  • Scrub with a white magic eraser to remove marks/scuffs.
  • Wiping down is not sufficient.
  • Hide unattractive items (bags, boxes, personal belongings) out of sight.

Service Conduct

  • Phone use prohibited during service (except arrival confirmation).
  • Wear gloves when serving
  • Stand throughout. No sitting or personal chairs.
  • Professional, warm, no personal oversharing.
  • Be proactive/resourceful. Solve problems independently.
  • Respect privacy of guests, refrain from taking photos/autographs.

Product Monitoring LUXURY = MINIMAL

  • Fill cups to 75%, top with whipped cream.
  • If cambro low: fill to 50% and increase whipped cream for appearance.
  • One topping per guest. One teaspoon total.
  • Ask: “Which one topping would you like?”
  • Monitor toppings according to number of cups. Toppings & whipped cream will have to last the entire event.

End of Service

  • Service ends when time is complete or product runs out (whichever first).
  • If product runs out: notify event contact, thank them, you are paid the same rate.
  • If client requests cart remain for aesthetics, you are required to stay.

Cleaning & Return

  • Use client sink to empty, rinse, and wash Cambro.
  • Run spigot while cleaning to prevent clogs.
  • No chocolate residue when returned.
  • Obtain parking validation from client or have them Venmo/Paypal you directly
  • Payment is flat rate so don't ask for gratuity
  • Return equipment as instructed. (drop off at garage or apartment door)

What We Are Not Looking For

  • Incorrect invoices or inability to do basic math
  • Excessive hand-holding or repeated questions
  • Poor presentation or forgotten items
  • Lack of self-sufficiency or professionalism

Social Media VIDEO REQUIRED

  • Video content required (not just photos).
  • Capture setup, serving, ambiance, notable activations (DJ, decor, branding).
  • Create and edit instagram reel while standing at cart & airdrop finished content when returning equipment. Tag @thelahotchocolatebar.

Additional rules: No reimbursements for tolls/tickets/violations. Extra traffic/setup time does not change pay. If late, a $45 deduction applies. Respect privacy at celebrity events. No guests/passengers while transporting company property. Use moving blankets during transport and photograph cart once loaded.

Payment Method & Timing

Payment is issued via the Company’s standard payment method after all of the following are complete:

  1. The event has been completed
  2. All company equipment has been returned
  3. A complete invoice has been properly submitted

Same-day or immediate payment is not guaranteed. Invoices are processed within 5 business days of the later of invoice receipt or equipment return.

Invoice Submission

Invoices must be emailed to sales@thelosangeleshotchocolatebar.com and must include the following information:

  • Full name
  • Phone number
  • Address
  • Date of service
  • Description of services rendered
  • Total payment amount
  • Registered payment email or phone number

Invoices may be submitted directly in the email body or attached as a Microsoft Word document.
